Sendees Privacy Policy

Introduction

Sendees (the “App”) is operated by RETAG FOUNDATION (“Company,” “we,” “us”). We respect your privacy and are committed to protecting it by complying with applicable privacy laws and the requirements of the Apple App Store and Google Play. This Privacy Policy (this “Policy”) describes how we collect, use, store, disclose, and protect your personal information when you download, install, register with, access, or use Sendees.

This Policy sets out:

• the types of information we may collect or that you may provide when you use Sendees;

• our practices for collecting, using, maintaining, protecting, and disclosing that information; and

• your rights and choices.

If you do not agree with this Policy, do not download, register with, or use the App.

What is Personal Information

“Personal information” generally means information about an identifiable individual. This includes information that can directly or indirectly identify you, contact you, or locate you, such as your name, email address, device identifiers, and in certain contexts, location information (latitude/longitude).

Scope

This Policy applies to personal information we collect through or in connection with the App, including email and other electronic communications sent through or in connection with Sendees. This Policy does not cover third-party websites or services that we do not control.

Information You Provide

A) Account & Profile

• uid, name, email, photo

• preferences (language, currency, timezone)

B) User-Generated Content

• prayer requests, posts, comments, chat messages

• images/files you upload

• church information you provide

C) Minister Verification (Sensitive Information)

If you apply for minister status, we may collect denomination, position, country, and supporting documents. This is sensitive information and is specially protected (see below).

Information Collected Automatically

• device/OS/app version

• usage, authentication, crash logs

• push token, IP address, language

App Permissions (Only With Your Explicit Consent)

A) Location (Foreground Only)

We collect precise location only while the App is in use (foreground) to:

• calculate distance,

• display nearby prayer meetings, prayer requests, and churches.

We do not use location for tracking, profiling, advertising, or background monitoring. Location access can be disabled anytime.

B) Contacts (Invite Feature Only — Local Processing)

Contacts are accessed only when you choose to invite someone.

Contact data is processed locally on your device to send the invitation and is never uploaded, stored, or transmitted to our servers. The App UI clearly informs you of this at the time of use.

C) Camera / Photos / Files

Used only when you upload a profile image, post image, or minister verification document. We never access media without your action.

User-Generated Content: Visibility and Deletion

Content is visible only to:

• members of the same prayer meeting,

• followers,

• nearby users when enabled.

When deleted:

• immediately removed from view,

• retained up to 3 months in protected storage for abuse/dispute review,

• permanently deleted after.

Admins do not monitor content and may access it only upon user request or for safety/legal reasons.

Minister Verification and Sensitive Data Protection

This includes religious and identity information.

• Encrypted in transit and at rest

• Accessible only via controlled decryption

• Visible only if the user chooses to make it public

• Revalidated annually; old records securely replaced

Retention is required for fraud prevention, identity disputes, and regulatory accountability.

Donations, Payments, and CRA Record-Keeping (Critical)

If you make a donation through the App and an Official Donation Receipt is issued for tax purposes, we are legally required under CRA regulations to retain certain donor information, which may include:

• name

• mailing address

• donation amount

• transaction records

These records may be retained for a minimum of 6 years to comply with Canadian tax law, even if you delete your account.

This legal retention requirement overrides standard deletion timelines for tax-related records.

How We Use Information

To:

• operate the App

• provide community and prayer features

• process verification

• process donations/payments

• provide support and security

• improve reliability

We do not use personal information for advertising, profiling, tracking, or marketing.

Sharing of Information

We do not sell data.

Shared only as necessary with:

• Google Firebase (auth, database, storage)

• Stripe (payments)

• Twilio (verification if enabled)

• Cloud infrastructure providers

We may disclose if legally required.

International Processing

Data may be processed in Canada, the US, or where providers operate.

Account Deletion

You may delete your account at any time from the App Settings menu.

Upon deletion:

• profile and identifiable data are deleted or anonymized,

• user content removed from view immediately,

• retained up to 3 months for abuse review,

• donation/tax records retained as required by law.

You may also request deletion via email.

Your Rights

You may request access, correction, or deletion of your data.

Data Security

We implement:

• Encrypted storage for sensitive data

• Access controls (least privilege)

• Secure infrastructure

• Incident response

We honor verified data deletion requests in accordance with this Policy and legal obligations.

Children

Sendees is not intended for children under the age of 16. We do not knowingly collect personal information from individuals under 16 years of age.

If we become aware that personal information has been collected from a person under the age of 16 without appropriate authorization, we will take steps to delete such information as soon as reasonably possible, except where retention is required by law.

Updates will be posted in the App.
